Registrar and Accommodation

 

UNITEN Students Congressional Movement (USCOM) came up with an anticipated live forum session on the Open Day which was conducted virtually via Microsoft Teams for one hour and a half, bringing around thirty students from both UNITEN Putrajaya and KSHAS together on 24th and 25th of September 2021 with its first episode to indulge in. Into the bargain, two distinct discussions on the topics of registrar and accommodation were carried out by a joint cooperation between the Student Representative Council (SRC), Skuad Media UNITEN (SMU), EmceeVengers and NADi.

 

On the first day of the event, all the partakers were welcomed to participate in a talk titled “Registrar Academic: A Diversity to Excellence” around 5 in the evening and “Kelompok: Where Our Story Begins.. ” on the next day around 11 in the morning. Frank Herbert once said, “The beginning of knowledge is the discovery of something we do not understand.” As such, students were encouraged to join both these forums to clear any uncertainties, discover more of the university’s management system (UMS) and help create an improvement through this opportunity. Eventually this forum was to be considered a success whereas all four UNITEN departments were capable of clarifying all their doubts and suggested solutions for any issue related to the university’s registrar and student accommodation.

 

To begin with, “Registrar Academic: A Diversity to Excellence” was the second forum session conducted soon after the end of foremost finance talk namely “Finance: Indulge Your Curiosity”. Hosted by a skillful moderator from EmceeVengers, Nurul Iman Umairah bt Mohd Fadzli,  this session was then joined by three well-versed officers from UNITEN registrar unit itself, Mr. Zulkarnain Md Nor, Ms. Safidahjun Hj. Mohd and Ms. Sharifah Mardiah. At the start of the forum, all participants were briefed on the timeline and introduction about the establishment of the particular department which stated that on year 1997, there were only 3 subsections which covered academic matters, enrollment guidance and student affairs. However, in late 2006, due to the rise of student capacity, two new sub-units which are “Sports and Recreation” and “Art and Culture” were formed to meet high demand and request. To sum up, all students were updated on the location of registrar’s office (under academic counsellors, Unit 2 Admin Building), vision (provide better customer-based system) and mission (supply better quality service and support), and key functions of management.

 

Delving into details, one of the panelist, Mr. Zulkarnain Md Nor threw light on the roles of deputy registrar in each sub units, thus interpreted them properly for easier comprehension and understanding. A good illustration of this was that enrollment sub unit was responsible in handling student registration processes in MUET examinations and managing student records while academic sub unit was on duty to provide mainly supporting services to university students such as student consultation, subject registration and verification of sponsorship. During the session, participants were also informed of the updated planned schedule for the conduct of their delayed convocation ceremony which would occur in early March 2022. At a subsequent time, it was understood that students must go through exact standardized procedure when registering for new subjects to which Ms. Safidahjun Hj. Mohd explained it step by step specifically. For such, students must firstly do an advising with their assigned lecturer, supposing to proceed with clearing out the pro forma afterward. Following this, subjects are to be registered on UNITEN Student Info System website in sequence to deal with online increase capacity and students can then feel free to drop any preferable subject as well. Lastly, registered subjects are to be finalized in order to complete the whole “Subject Registration” process. Besides, it’s an honor to have Ms. Sharifah Mardiah briefing all the participants as she highlighted Foundation and Diploma students on the basic process flow of signing up for UNITEN Bachelor programs.

 

Likewise, the second forum was moderated by a duly-noted representative from EmceeVengers, Roosimin A/P Kaliappan and also joined by the Head of Entrepreneurship in Student Representative Council (SRC), Lee Zi Sheng. “Kelompok: Where Our Story Begins.. ” talk session had brought us a proficient officer from unit of accommodation itself, Mr. Razif Mohazar who shared relevant opinions sufficient to the refinement of each three UNITEN apartments. To start with, Mr. Razif gave all the participants a clarifying explanation regarding up-to-date house-recondition services which stated that most furniture in the apartments had recently been upgraded for a better long-term usage and house-keeping services are to be provided once a month for which students had the authorities to make a report or complain in case of broken properties and unclean residences. Thereafter, one of the hottest discussed initiatives during the forum was to claim one type of accommodation discount or reward for the well-performed students (CGPA above 3.5 pointer) to which Mr. Razif answered that they would have to firstly make a proposal and obtain official approval from the management in order to implement the voiced-out suggestion.

 

Besides that, in the upcoming semester, Mr. Razif indicated that students could pay their house bills via a wider variety of e-wallets, for instance Touch and Go (TnG), and Boost. This was to be done to manifest the efficiency of digital transaction apps and reduce further late bill payment by students. Plus, a significant recommendation was justified by Mr Razif himself for which there would be a digital application platform designed for specifically accommodation system so that at some point in the future, every single complaint, progress and records regarding our Kelompok would be more easily-accessible to minimize physical contact thus, lowering the risk of Covid-19 infection. Lastly, before the QnA session, Mr. Razif explained the Standard of Procedure (SOP) of returning and staying at campus for all students in this upcoming 17th and 18th October which covers all the operating hours of curfew and accommodation offices and free food provided for quarantined students.

 

Finally, at the end of each forum, all the participants were given a chance to ask any question or uncertainty and both the forums were wrapped up with a memorable photography session. It was hoped that students who attended the forums benefitted from the sessions as registrar is extremely crucial for starting a new semester while accommodation on the other side plays a vital role in student life and welfare at UNITEN. In short, it was two very successful events which might possibly see its comeback in the near future.
